Terms and Conditions for The Mountain Lookout

Agreement:
By booking The Mountain Lookout, you agree to these terms and conditions on behalf of yourself and your party. It is your responsibility to ensure all booking details are correct and notify us of any discrepancies within 48 hours. Guests accept full responsibility for their actions, visitors, and any resulting harm, injury, or damage. Violating these terms may result in immediate eviction without refund.

 

Cancellation policy:

  • Full Refund: Cancel at least 30 days before check-in to receive a full refund.

  • 50% Refund: If you cancel between 7 and 30 days before check-in, you will receive a 50% refund for all nights.

  • No Refund: If you cancel less than 7 days before check-in, no refund will be issued.

  • 24-Hour Grace Period: You can also receive a full refund if you cancel within 24 hours of booking, provided the cancellation occurs at least 14 days before check-in.

Pets and animals:

  • The property is strictly pet free. Pets are considered any animals that aren't service animals according to the ADA.

Road Access:

  • A four-wheel-drive (4WD) or all-wheel-drive (AWD) vehicle is recommended to navigate the steep, narrow, one-mile unpaved mountain road to the property during summer. From October to May, when snow and ice are possible, 4WD or AWD is required.

  • October-May:
    The road is typically plowed during or after major storms. However, it may become hazardous without chains or adequate tires tires due to packed snow, ice, or snow accumulation between plowings. In such cases, guests must either carry and install chains or park at the bottom of the road and use the provided 4WD Polaris 3-seater UTV (equipped with heavy duty studded chains or studded tires, an enclosed heated cab, and a large bed for luggage) to access the property. 

Check-In & Check-Out:

  • Check-in: 3:00 PM; Check-out: 11:00 AM.

  • Fees apply for late check-outs. Early arrivals and late check outs are at the discretion of Management, must be requested at the time of booking and can only be confirmed 1 day prior to arrival or departure. Whilst every effort will be made to accommodate early arrivals and late departures, the only way to absolutely ensure an early check-in or late check-out is to book an extra night.

Occupancy & Gatherings:

  • The total number of guests/visitors staying the night on the property may not exceed the number of guests in the reservation.

  • No more than 4 guests/visitors total are permitted at any time on the property unless pre-approved in writing. 

  • Gatherings (more than 4 guests/visitors total) are strictly prohibited without prior written consent.​

Children:

  • The home may not be suitable for young children due to potential hazards, including an unrailed deck, stair railings that can be climbed or squeezed through, hard concrete floors, nearby cliffs, the presence of wildlife such as mountain lions, and long emergency response times due to the remote location. However, if you choose to travel with a young child (under close supervision), we provide a portable crib, high chair, changing pad, and a safety gate for the stairs to help make your stay more comfortable.

Smoking:

  • Smoking is strictly prohibited. A minimum $1,000 cleaning fee applies for violations.

Cleaning & Damages:

  • Leave the property clean and tidy. Additional cleaning fees will apply for excessive mess.

  • Report any damage immediately. Guests are responsible for all damages or breakages during their stay.

  • Furniture must not be moved or re-arranged unless pre-approved in writing.

  • The hot tub cover must remain fully latched when not in use.

  • Guests must lock the property when leaving. Damage or theft due to neglect will result in charges.

Lost or Damaged Keys:

  • A $25 fee applies for lost or damaged keys. Lockout assistance may incur a security call-out fee and is subject to availability.

Liability & Indemnity:

  • Guests are responsible for their safety and that of their visitors. The host is not liable for injuries, accidents, or losses occurring on or off the property.

  • Guests indemnify the host against any legal action arising from their stay.

Security Bond:

  • Credit card details are held as a security bond. Charges apply for damages, theft, or extra cleaning. Refunds are processed within 7 days of departure.

Additional Terms:

  • The property is for residential use only. Unauthorized gatherings or events will result in eviction, a minimum $500 penalty, and forfeiture of your booking. Commercial activities are prohibited without prior written authorization. Commercial activities encompass any event or engagement intended for business purposes, such as photo shoots, filming, corporate retreats or other organized events for business purposes.

By booking, you acknowledge and accept these terms.
